Ensures proper flow of office procedures and supports Sales and Management by carrying out office administrative duties.

MAIN PURPOSE OF THE JOB:

Complete all administrative duties including –
Handle Inbound calls and capture information on a live excel document on MS Teams
Leads allocation which is round robin to the head off sales agents
Administration of Sales processes on excel, Zendesk, Pivotal, and other systems
Tracking of all HO and F2Fconsultants stats by Day, Month and Year
Capturing of data from Business for commission at the end of each month for all
Conduct post calls to new bookings by welcoming the guests
Capturing OPS queries and escalating to varies department
Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
Administration of Sales processes on excel, Zendesk, Pivotal, and other systems
Capturing and collating Reports for the business and Partner networks
Daily/weekly/Monthly reporting sales statistics to the business
Assists in planning and arranging events, including organising catering
Handles expenses and billing cycles and administration of payments
Assist at the front desk.

KEY RESPONSIBILITIES:


General Administration

Co-ordinate photocopying
Stock control of stationery and events co-ordinations equipment’s
Carry out all general sales administration work required
Photocopies and files appropriate documents as needed

Coordination and Guests Administration

Assist with Incomplete bookings with potential prospects booking which have failed
Assist with compiling lead files and sales trackers
Email communication to the Line Manager/Sales team on stats updates (Lead files/Sales trackers/Rankings for HO and promoters also providing feedback follow-ups for New buildings or projects)
Escalate queries to relevant departments(IT/OPS and sales)
Handle all Inbound calls and assign to relevant queues
Conduct Post calls to new guests that have been joined the business by ensuring that they have booked for the correct product
Add unassigned leads and cross checks on sale via Zendesk CRM
Collection of supporting documents for commission at the end of each month for all bookings
Tracking of all guests’ bookings by Day, Month and Year


Sales Desk Administration

Answers phone calls and transfers them as necessary.
Assist with bookings and track the bookings
Assists in the department with ad hoc sales duties as required.

REQUIREMENTS OF THE JOB:

Property sales experience (EAAB licence will be a bonus) – min 2yrs
Contract centre sales experience – min 2yrs
Matric certificate.
Data capturing and administration.
Previous experience working in Administration, Sales and Marketing a plus.
Good computer literacy is essential especially in MS Outlook, MS Word and MS Excel.
