Job related knowledge: Microsoft Package (Word, Excel, PowerPoint, outlook etc). Job related skills: Organise, Communication (writing and verbal).
Duties Manage and control the switchboard and reception area. Receive, record and distribute all incoming and outgoing calls. Monitor telephone costs, including printing of monthly detailed printouts. Receive clients and make the necessary referrals. Ensure that customers are referred promptly and correctly. Supply basic information to customers regarding Restitution and the Department services. Develop a database of important contact numbers. Update the internal telephone directory. Keep the database of important contact numbers. Assist with general administrative activities. Assist with coordination of travel arrangements for Senior Managers. Type letters and memorandums. Coordinate the bookings for boardroom. Develop a roster for bookings to ensure that there is no clash. Keep the boardroom tidy and arrange refreshment for meetings
