Leading Manufacturing concern in Brits is looking to employ a Personal Assistant to the CEO. Short Term Contract Assignment. Fluent in English



Qualifications & Experience

Grade 12 + National Diploma Secretarial
Minimum 5 years secretarial experience, of which 3 years should be at an Executive level
Executive management level exposure
Administrative and document management systems
Advanced MS Office (Excel, Word, PowerPoint)
Excellent knowledge of protocol and etiquette

Duties

Arranging monthly EXCO board meeting and quarterly reports and meeting, taking of minutes and typing same, distribution of all documents to relevant mangers and executives, assisting with submissions and attending the same for Board of directors meeting with documents.
Responsible for organising and co-ordination of the executive office operations and procedures in order to ensure effectiveness and efficiency
Support the CEO with preparation of annual budget and reconciliation of actual vs budget
Travel arrangements (Local and International).
Diary management. Ensure that all appointment requests, events and changes are noted accurately. Effectively coordinate meeting logistics, this includes meeting packs and supporting documentation
Perform general secretarial duties, including faxing, photocopying and minute taking and preparation of reports.
Correspondence. Confidentially receive, sort, prioritize and screen correspondence (mail and email) timeously.
Compile error-free and valid documents and presentations
Ensure that all documents are filed and archived correctly
Undertake executive administrative functions for work programs and projects as determined by the CEO. Support with running of errands and assist with any other day-to-day activities
Communicate effectively with the internal and external clients
Adhoc Intra Departmental Events and Workshops
