Receptionist
Job brief description:
We are looking for a competent Receptionist to perform various administrative and clerical tasks to support our Admin Supervisor. You will undertake a variety of activities in the office ranging from filing and answering the switchboard, assisting staff, receiving deliveries and supporting the Admin Supervisor as tasks are delegated accordingly. This position also offers growth as you will grow with the company.
An effective receptionist has the ability to work diligently to help maintain smooth office operations. You must be reliable and hardworking with great communication skills. The ideal candidate will also be familiar with office equipment and procedures.
Training will be provided by the Admin Supervisor
Responsibilities:
Answering of switchboard, redirecting calls to appropriate colleagues, and taking messages
Maintain files and records so they remain updated and easily accessible
Sort and distribute incoming deliveries and prepare outgoing deliveries (envelopes, parcels, etc.)
Utilize office appliances such as photocopier, printers etc. and computers for word processing, spreadsheet creation etc.
Undertake basic bookkeeping tasks and issue work orders, purchase orders and payment applications invoices, checks etc.
Sage purchase orders
Take minutes of meetings and dictations
Assist Admin Supervisor in office management and organization procedures
Monitor stocks of office supplies (stationery, sanitizer, groceries etc.) and report to Admin Supervisor when there are shortages
Assist in making travel arrangements and booking venues for conferences and events
Booking of accommodations
Perform other office duties as delegated by Admin Supervisor
Requirements:
Proven experience as receptionist or other clerical position
Familiarity with office procedures and basic accounting principles
Working knowledge of office devices and processes
A fast typist with knowledge in stenography and taking dictations
Moderate knowledge of MS Office
Excellent communication skills
Excellent organizational and multi-tasking abilities
Matric Certificate
Must be able to take instructions correctly
Strong individual who can work independently
Must be able to take instructions from Admin Supervisor and provide daily feedback and execute tasks with a timely manner.
